Administrative Assistant

The Administrative Assistant will support the daily administrative and operational activities of the organisation. The role includes preparing training documentation, maintaining accurate records, coordinating office activities, supporting training events and ensuring that administrative processes are completed efficiently and professionally.

Minimum Requirements
- Valid South African driver’s licence.
- Own reliable vehicle.
- Own laptop.
- Proficiency in Microsoft Word, Excel, Outlook and Zoom.
- Experience using Microsoft OneDrive will be advantageous.
- Excellent attention to detail.
- Strong written and verbal communication skills.
- Excellent self-management and organisational skills.
- Good time management abilities.
- Professional appearance and work presentation.
- Physically able to climb stairs, lift and pack equipment when required.

- Provide general administrative support.
- Assist with personal assistant duties where required.
- Maintain organised administrative records.

Course Preparation
- Prepare course administration packs.
- Create and issue course certificates.
- Ensure all training documentation is complete before courses begin.
Course Administration
- Upload completed course documentation.
- Capture course results accurately.
- Mark and submit QCTO Portfolios of Evidence.
- Maintain accurate learner records.
IT and Database Support
- Update existing databases.
- Create new database records when required.
- Review and organise training materials.
Office and Venue Management
- Assist with venue preparation when required.
- Clean and maintain training equipment after courses.
- Perform weekly office organisation and housekeeping.
- Conduct weekly stock counts.
- Arrange printing of course administration documents.
Collections and Logistics
- Collect training manuals.
- Collect office equipment and stationery.
- Collect printed material.
- Purchase refreshments when required.
- Collect pre-course and post-course documentation from instructors.
